Planning the Course

The SafetyNet Course Administration Module handles every phase of event or course management from planning to final feedback.

User-friendly with a Simple UI
The Course Administration Module is simple to navigate with subject-specific tabs that allow you to easily access detailed information on a certain subject, including participants, to-do lists, reading material, documents, prices and accounting records.

The module allows you to create templates based on earlier courses, so new courses can be created in a matter of minutes.

SafetyNet Course Administration also lets you advertise courses, allowing you to map possible interest in them.

Automated Communication
E-mail templates allow for all information about a certain course to be sent out automatically. The Course Administration Module can be set up to send participants a confirmation e-mail upon enrollment to a course and a course certificate and link to a satisfaction survey upon completion of the course. The module can furthermore be configured to send an instructor the list of participants a certain number of days before the course. E-mail communication is, along with the other SafetyNet Course Administration features, easily customizable to fit your company’s needs.

Online Enrollment with the Course Catalogue

Simple Enrollment with Relevant Enrollment Fields
SafetyNet Course Administration lets you set up the course enrollment page with fields tailored to a given course. Some courses may require only name and e-mail, while others may need more information on participants. The enrollment fields can be edited in the course template or on the individual course site.

Once a participant has enrolled for their first course, their data is stored, and the participant is recognized upon subsequent enrollments.

For companies who have chosen to purchase employee data integration, all employees already exist in the system, and employees need only fill out any supplementary information. If employees are signing up for the annual company run, for example, they may need to pick a t-shirt size from a drop-down menu.

Enrollment set-up in SafetyNet Course Administration is highly flexible and customizable.

Secure Information
SafetyNet can hide fields with known information such as social security numbers. This insures that sensitive information is kept confidential during enrollment.

SafetyNet Course Administration lets participants pay for courses during enrollment through an integrated payment solution with DIBS or Bambora.

Please note that a subscription with DIBS or ePay is required for use of this SafetyNet function.

Simple User Interface
Med betalingsløsningen føres kursisten igennem den almindelige tilmeldingsformular, men med betaling som det sidste trin inden kvittering. Ved betaling føres kursisten hen på en simpel brugerflade stillet til rådighed af enten DIBS eller Bambora. Efter betaling kommer kursisten tilbagetil Kursusadministration, hvor kvittering for betaling fremgår.

Similarly, the module can be set up to send participants a satisfaction survey upon course completion, so participants have adequate time to evaluate the course, the instructor, and the setting. Upon course completion, participants can furthermore automatically receive an e-mail with their course certificate.

Participants may also be reminded of a course a given number of days prior to the start of the course.

Automated E-mails to Instructors and Course Location Administrators

Automated Communication
E-mail templates allow for all information about a certain course to be sent out automatically. For example, an e-mail may be sent to an instructor ten days before the start of a course with a list of participants, so the instructor knows how many people to expect from the various departments.

An instructor may also receive an e-mail with a link to register attendance at the end of each course.
It is furthermore possible to automatically send an e-mail to the contact person at the course location ten days before the start of the course to let them know how many participants to expect for lunch on the day of the course.

Full Overview of Courses and Participants

The Course Administration page gives a general overview of latest enrollments, latest courses, upcoming courses, a personal to-do list and more. More detailed information about a course or a participant is shown by simply clicking on the name.

The course search function in the Course Administration module allows for advanced searches based on many different criteria, making it easy to see and find courses.

A course administrator can easily access important information such as participant lists, to-do lists, reading material, documents, prices, and accounting information with clearly marked tabs.

Full Overview
All details about a participant is shown by clicking on the participants name on the main page or the participant page. When you click on a participant, a new window opens with their basic information and course history.

Electronic To-Do List

SafetyNet Course Administration eases course planning by including one electronic to-do list per course that lets you organize your upcoming tasks. Tasks can be checked off the list as they are completed. Overdue tasks are marked with a special icon, so they stand out when you skim over the list. Courses with overdue tasks are also marked with a special icon on the course overview page. Access the to-do list with a single click.

Automated Communication – Get the To-Do List in Your Inbox
You can organize the to-do list by start date, due date, enrollment date or cancellation date. For example, you can set the to-do list to send you a reminder to order lunch 10 days before the start of the course.

You can also have the to-do list sent to your inbox every morning, so you can see if you have any upcoming tasks without even logging on to the Course Administration system.

A task on the to-do list can furthermore be sent to participants, the course responsible, the instructor, the course location administrator, or any manually-entered e-mail.

Integration with Your Company’s Accounting System

SafetyNet Course Administration lets you register the price of a course and the relevant account in the system, so transactions such as participant enrollments for a course are automatically recorded on the accounting record.

Simple and Customizable Accounting System
You can change transaction details before creating a file for import to your own accounting system. This may be useful if some participants are eligible for discounts, or if participants need to pay a penalty fee for not showing up. When the accounting record is ready for approval, you can with a single click export it from SafetyNet Course Administration to your choice of file format, like .xml or .xlsx. This file can in turn be imported to your company’s own accounting system, through which the payments will take place.

Online Course Satisfaction Surveys

Create your own course satisfaction survey in SafetyNet Course Administration. Choose from several different formats and layouts.

Easy Set-Up
A satisfaction survey may be linked to one or several courses, and can be sent automatically to participants or instructors at a certain time during the course or at the end of the course. The e-mail incudes a link to the survey for online completion. Reminder e-mails may be sent to those who haven’t answered the survey after a set number of days.

Quick Stats
SafetyNet Course Administration gives a statistical overview of the answered surveys letting you see a course’s strengths and areas for improvement. The surveys can also be a useful tool for evaluating individual instructors.

The system can also produce a standard report per course which clearly illustrates the survey results with numbers and graphs.

Ved login på kataloget kan kursisten se sine kommende kurser, og såfremt en evt. afbudsfrist på kurset ikke er overskredet, er det muligt for kursisten selv at give afbud på et kursus, hvis de måtte være forhindret i at deltage.

Instructors have access to an online course catalogue, where they can see their current and previous courses. Instructors have their own personal pages called My Pages where they can edit their data, upload documents and register attendance.

Record Attendance with Just a few Clicks
Instructors can access participation lists from finished courses on My Pages to record attendance.

Easy to Share Documents
Instructors can share documents such as course readings with participants. Administrators can also upload documents such as driving or parking directions for instructors and participants. Documents are shared and accessed through My Pages.

Ad Hoc E-mails to Participants
Instructors can quickly and easily send e-mails to course participants. E-mails are sent from the instructor’s own e-mail program which retrieves the e-mail addresses from SafetyNet.

Managers’ Online Access

Managers have access to an online catalogue where they can see which courses their employees have taken and plan to take. Managers have their own personal pages called My Pages where they can edit their data and follow their employees’ courses as well as their own.

Submit a Cancellation in Just a few Short Clicks
Upon logging in, managers can see their employees’ upcoming courses, and if they are within the cancellation deadline, they can cancel on behalf of one of their employees. They can also cancel their own courses.

Easy Access to Shared Documents
Managers have access to all documents added to the course. This can help a manager to decide whether a certain course is relevant for their employees.
